Tidy a PDF before delivery: remove spare pages without losing an appendix

Use a 12-page pack to identify spare pages, move an appendix and check the exported page count and order.

A twelve-page pack is almost ready to send. Page 2 repeats the cover, page 7 looks blank, and the appendix sits after the references when it should come before them. Getting down to ten pages is easy; proving you removed the right two pages is the real job.

Keep the original and mark the source page numbers

Save a copy of the PDF. Open Organize PDF Pages, scan the thumbnails, and note the original PDF page numbers you intend to change: remove original pages 2 and 7, then move the appendix before the references. Do not rely on a page number printed in the document. After a cover and preface, printed “page 1” may be PDF page 3.

Zoom in on the supposedly blank page before deleting it. It could contain a footer, comment, signature area or pale scan. The duplicate cover may also be a different version or language. Delete only after confirming that the recipient does not need it.

Make one kind of change at a time

Remove the pages you are sure about, then drag the appendix into place. Check the thumbnail order after each move. Use Undo if a page lands in the wrong spot; do not keep editing on top of an incorrect order. The tool can rotate, duplicate and add blank pages as well, but none of those operations helps this particular task.

Moving a page does not rewrite a sentence such as “see page 9.” Check the contents page and any cross-references before exporting. For a formal document, the cleanest fix is often to update the source document and generate the PDF again.

Check both count and order

Two removals from twelve pages should leave ten. Reopen the exported PDF and flip through it from the first page to the last. Confirm there is only one cover, the appendix precedes the references, and the removed page contained nothing needed. Compare two random body pages with the original to catch an accidental extra deletion.

The correct page count does not prove the order is correct. When pages look alike, inspect headings, figure numbers or appendix labels rather than relying on thumbnails. If the source has a digital signature, bookmarks or form fields, verify them in the edited copy before sending; changing a PDF can affect an existing signature.
